Job Description: \n\n* Receives and sorts all incoming mail\n* Directs Correspondence to the appropriate offices\n* Analyze payroll hours from time and attendance device and enter into payroll system accurately; with a goal to eventually be a back-up to our Payroll Manager\n* Assist with open enrollment for benefits and completing year end audit reporting\n* Records accounts receivable checks and other payments daily to include credit card payments to ensure timely and accurate input\n* Manage Collections - Develop a collection plan to deal with unresolved collections to include reviewing a payment plan option with upper management when necessary\n* Update client accounts based on payment or contact information\n* Sorting, Filing and Data Entry of Accounts Payable invoices in a timely manner to ensure data accuracy to the proper job, while verifying applicable sales tax and use tax on invoices.\n* Research and resolve vendor invoice discrepancies\n* Comparison of purchase orders and prices to the vendor invoices\n* Assist with document retention, including scanning and organization of electronic documents\n* Process monthly billings to include both progressive billings and AIA billings\n* Assist with necessary reports such as “Work in Progress” in order to appraise each project in terms of Profitability, performance against budget, and other related matters\n* Maintain and balance petty cash\n* Entering all equipment maintenance to the correct systems for tracking purposes\n* Responsible for filing all work comp injuries and reporting\n* Must assist in all phone & emails communications with customers, contractors, suppliers\n* Being alert and aware of surroundings to assist with customers walk-in’s and phone support\n* Assist in learning all functions within the office to include being a back-up support to Dispatching, Service Billing, etc…\n* Assist in completing job cost analysis for year-end review\n* Update /create job aides quarterly\n* Perform other duties as assigned\n\nJob Requirements:\n\n* Self-starter, Strong Communication Skills, Customer Service Etiquette, Accuracy to Detail and Numbers, Extremely Organized and must be Proficient in Microsoft Office to include: Outlook, Word and most importantly Excel (being able to create formulas and work in pivot tables is a necessity). \n* Accounting Degree and/or Business Degree with a minimum of 2-5 years in business operations accounting experience is helpful. \n* Attentiveness to Data Entry accuracy is a must. Must be able to work in a fast-paced environment with little supervision. \n* Maintains Confidentiality regarding all aspects of the work environment.
