JOB DESCRIPTION: \n\n\nFinancial Assistant – Duties:\n\nAccounting:\n\nUsing our CRM as the primary source of client communication and creating/sending client project invoices.\nRegularly reviewing/validating the accuracy of invoices & payments in QuickBooks Online & our CRM.\nOwning the Accounts Receivable Collection process by tracking and following up with clients regarding past due invoices.\nEstablishing and following a weekly process to keep current.\nCoding bills appropriately and sending them to our Bookkeeper/Accountant.\nLeading the coding, tracking, and accountability of team credit card receipts according to company policy. Properly coding receipts to appropriate projects/service tickets.\nFinance:\n\nAssisting in filling out financing contracts with clients (and bank side of contracts).\nJob costing every project by comparing quote profitability to actual profitability (by comparing tech hours, extra parts, validating POs, etc.).\nAssisting the CFO by analyzing monthly financials for transaction accuracy, margins, and outliers.\nKeeping Departmental Metrics updated and accurate in tracking software.\nAnalyzing, projecting, and updating 3, 6, and 12 months of Cash Flow and Financial Projections.\n\nGeneral Office:\n\nAnswering phones and providing excellent customer service.\nReplying to all client and staff communications (email and Teams messages) in a timely manner daily.\n\nHuman Resources:\n\nAssisting with New Hire Paperwork and Onboarding Processes.\nPlanning and scheduling Staff & Technician Professional Development.\nOther Responsibilities (as needed):\n\nCoordinating lifts and equipment to job sites (if needed).\nWorking with subcontractors to ensure insurance is up-to-date.\nOrdering clothing, uniforms, and equipment for staff.\nManaging additional special projects as assigned.\n\nTHE MUST-HAVES:\n\nBachelor's degree in Accounting, Finance, or related field (preferred)\nExperience with QuickBooks Online, bookkeeping, and invoicing.\nProficiency in Microsoft Excel and data analysis.\nExceptional organizational skills and the ability to multi-task.\nTech-savvy, with the ability to quickly learn and master various software platforms.\nTrustworthiness, follow-through, and attention to detail.\nPositive "can-do" attitude.\nStrong communication, listening, and comprehension skills.\nProblem-solving ability to identify potential issues and find solutions.\nStrong personal time management skills, able to identify and execute priorities in a timely manner.\nAbility to work well with a team as well as independently.\nPatience when working with staff and clients.
