JOB DESCRIPTION: \n\nUnder the supervision of the Client Services Manager, these positions will perform administrative duties, as well as welcome clients and visitors, in person or on the telephone, and accommodate the requests of the clients. \n\n* Answer and route telephone calls. \n* Greet and assist clients coming to front desk for assistance. May include: lunch sign up, class sign up, newcomer information/tours, newsletter subscriptions, merchandise purchases, etc. \n* When the monthly newsletter goes to print, the following duties need to be completed: \n* Prepare activity calendars for dining room table tents.\n* Prepare calendars for meeting rooms (when complete, they are given to Lori for review)\n* Prepare class sign up rosters. \n* Update events on MySeniorCenter kiosk.\n* Prepare lunch sign up rosters.\n* Maintain Master Calendar\n* Prepare MySeniorCenter key fobs for new patrons. \n* Maintain master list of daily meal clients. \n* Prepare Daily Congregate/Drive Thru lunch list. \n* Prepare volunteer schedule and lunch list (information from CM Site Coordinator).\n* Prepare weekly powerpoint presentation for lobby screen. \n* Use cash register to track sales of stamps, copies, merchandise, meal donations and other. \n* Reconcile cash register weekly (Thursdays).\n* Prepare fitness class rosters as needed (every 8 weeks). \n* Ensure front lobby and sunroom are tidy and presentable (should be done throughout the day). \n* Keep Client Services office neat and tidy at all times. \n* Assist clients utilizing the equipment loan program. Complete appropriate paperwork and collaborate with PT Administrative Assistant (Penny) in proper inventory control. \n* Assist with Dining Room/Coffee Bar duties as needed/assigned. Provide support to \nProgram & Services Coordinator for special events and activities and whenever needed. \n* Assist clients on MySeniorCenter kiosk as needed. Use tablet to assist with check in when needed. \n* Keep newsletters stocked in lobby podium. \n* Manage Drive Thru Meals from 11:15 – 11:45 am daily. \n* WellSky Data Entry as assigned, including, but not limited to: \n* Enter Assessments for all patrons. Coordinate collection of assessments with other staff. \n* Enter Carson and KESS meals via roster (monthly). \n* Enter Daily Congregate/Drive Thru Meal Roster (daily).\n* Enter Congregate/Take Out Meal Roster (weekly).\n* Print rosters for Carson and KESS (monthly)\n* Print rosters for Crescent Manor (weekly).\n* Track needed assessments and provide information to other staff for assistance in obtaining assessments. \n* Health Maintenance data entry as assigned. \n* (HDM Daily meal rosters and frozen meals will be entered by HDM Specialist I).\n* Tech support for classes (i.e., assist with computer set up/zoom for yoga class, meetings, etc.)\n* HDM Driver when needed. \n* Attend workshops, training sessions, and seminars as assigned by the Client Services Manager or Finance Director. \n* All other duties as assigned by the Client Services Manager or Finance Director. \n\nOTHER INFORMATION: All Client Services staff should study the genera brochure and newsletter (monthly) so they are aware of services and activities. Learn staff names and their responsibilities. Know emergency procedures and be ready to react to situations – those in Client Services area are most likely to be first in line to deal with an emergency. Any questions should be directed to the Client Services Manager, Finance Director or Executive Director. \n\n\nJOB REQUIREMENTS: \n--Ability to comprehend the provisions of Title III programs. \n--Ability to relate to the elderly. \n--Have valid driver’s license and means of personal transportation. \n--Proficiency in MS Office Suite. Ability to learn new software quickly.\n--Hands on experience with office equipment. \n--Solid written and verbal communications skills. \n--Professional attitude and appearance. \n--Be a multi-tasker with solid time management skills and the ability to prioritize tasks.
